What is Heartland Retreat & Rental Hall?

Heartland Retreat is a beautifully renovated Kasota stone church, transformed into a two-story rental facility in Elmore, Minnesota — just 10 miles south of I-90 on the Minnesota/Iowa border. We host everything from quilting and scrapbooking retreats to family reunions, weddings, corporate meetings, and community events.

Where Are We Located?

203 E North St, Elmore, MN 56027

A small town of fewer than 600 residents along Highway 169.

What size groups can you accommodate?

It depends on how you're using the space:

  • Lodging (overnight retreats): up to 21 guests
  • Workroom (crafting): 21 crafters, each with their own 8' table
  • Banquet Hall: up to 150 guests (250 with the adjoining sanctuary)
  • Lecture Hall setup: up to 200 guests
  • Sanctuary: seating for 160 in pews, plus additional back-room space

Overall main-floor event capacity: 250 people


What kinds of events can I book the space for?

We're a flexible venue! Popular uses include:

  • Quilting retreats, scrapbooking parties, and craft weekends
  • Weddings, anniversaries, and wedding/baby showers
  • Family reunions, holiday parties, birthdays, and graduations
  • Girls' weekends, class reunions, and yoga retreats
  • Corporate meetings, training workshops, seminars, and wellness retreats
  • Fundraisers, concerts, vendor fairs, and community gatherings



Booking & Rates

How do I book a date?

Check our online calendar for availability, then reach out through our contact form, by phone at 507-525-3210, or by email to reserve your date.

Do you offer day rentals as well as overnight stays?

Yes! We offer both:

  • Full facility rental (with lodging): overnight stays with a 2-night minimum
  • Main floor day rental: up to 12 hours, no overnight stay required


What are your rates?

  • Full Facility – Weekend (Friday–Saturday): $115/person, 2-night minimum, minimum 10 guests (plus tax)
  • Full Facility – Weekday (Sunday–Thursday): $100/person, 2-night minimum, minimum 10 guests (plus tax); additional nights are $30/person/night plus tax
  • Main Floor Day Rental: $250 total for up to 12 hours; extra time is $25/hour plus tax


Is there a minimum group size?

Yes, full facility (overnight) rentals require a minimum of 10 guests.


Is a deposit required?

Yes. A $250 deposit reserves your dates, with the balance due in full 30 days before your stay. We also require a $250 refundable damage/security deposit, returned within 10 business days if there's no damage or missing items.

What is your cancellation policy?

Refunds are based on how far in advance you cancel:

  • More than 24 weeks out: 100% refund
  • 20–24 weeks out: 80% refund
  • 15–19 weeks out: 60% refund
  • 10–14 weeks out: 40% refund
  • 7–9 weeks out: 30% refund
  • Within 6 weeks: deposit is forfeited



Lodging & Amenities

How many people can stay overnight, and what are the sleeping arrangements?

We have 9 bedrooms that sleep up to 21 guests total, with a mix of single beds across the rooms (most rooms hold 2–3 beds each). Several rooms are adjoining, which is great for families or close friends rooming together.

Is lodging accessible to everyone?

Most bedrooms (Rooms 1–11) are on the second floor and only accessible by stairs. One main-floor bedroom (Room 12) sleeps 3, includes a half bath, and has just 2 steps to access.

How many bathrooms are there?

3 full bathrooms serve the upstairs lodging area (2 with walk-in showers, 1 with a tub/shower combo), plus a half bath attached to the main-floor bedroom.

What's included with our stay?

Each room comes with linens (light blanket & quilt), 2 pillows, towels, a washcloth, and access to hair dryers. Extra towels and blankets are available on request. Rooms also include a bed, lamps, chairs, a clock, hooks, a nightstand, a ceiling fan, and plenty of outlets.


Is there a common area to relax in?

Yes — our lounge and game room (Rooms 4 & 6) has a couch, oversized chair and ottoman, TV with Roku, and a large table for games, puzzles, or conversation. We provide games and puzzles for guest use.

What time is check-in and check-out?

For overnight stays, check-in is 9 AM on your arrival day and check-out is 3 PM on your departure day. For day rentals, you'll set your own start and end times in your contract — just be sure to include setup and cleanup time, as extra hourly charges apply if you run over.


Kitchen & Meals

Is there a kitchen we can use?

Yes! Our 30' x 15' kitchen is fully stocked and includes 3 refrigerators, 2 ovens/stoves, 2 microwaves, a dishwasher, a toaster, a Keurig and coffee station, a center island, ample counter and sink space, plus dishes and cooking/baking essentials.

Do you provide food or catering?

We don't provide meals or catering — the kitchen is set up for your group to prepare your own food, and it's directly connected to both the workroom and banquet hall for easy serving.


Workroom, Banquet Hall & Sanctuary

What does the workroom include for crafting groups?

Room for 21 crafters, each with their own 8' table and an adjustable rolling chair, plus 3 design walls and 3 oversized (24" x 60") ironing stations. (Please bring your own iron.) There's additional floor space in the adjoining sanctuary if needed.

Can the space be set up for a banquet or lecture-style event?

Absolutely. The same 2,100-square-foot workroom/banquet area can be configured with 21 8' tables for up to 150 banquet guests, or with up to 200 chairs for lecture-style seating. Opening the space into the adjoining sanctuary brings total capacity to 250.

Is there a sound system available?

Yes, a microphone and sound system are available for larger groups, banquets, concerts, and presentations.

Is the facility wheelchair accessible?

Our main level meets current accessibility standards and guidelines. Please note that the upstairs lodging area is stairs-only.



Policies

Can we smoke on the property?

No. Smoking and tobacco use are not permitted inside the building or in areas immediately adjacent to it (entrances, exits, etc.). Evidence of indoor smoking is treated as property damage and results in forfeiture of the $250 security deposit (or a $250 charge if no deposit was collected).

Are pets allowed?

No animals are allowed, with the exception of certified service animals.

What if something gets damaged during our stay?

Please report any damage or broken items right away. Damage charges are assessed at the discretion of Heartland Retreat & Rental Hall and may be deducted from your security deposit.

What are the cleanup expectations?

Please leave the facility clean and tidy — run the dishwasher and place used towels/linens by your bedroom doors. If the space isn't left in satisfactory condition, your security deposit may be forfeited and/or a cleaning fee of $25/hour (minimum $25) may apply.

Who do you communicate with for group bookings?

We ask each group to designate one liaison who will handle all communication and payments with Heartland Retreat on behalf of the group.

What if we leave something behind?

We're not responsible for lost or stolen items, so please double-check your rooms before you leave. If we find something you left behind, call us at 507-525-3210 and we'll do our best to get it back to you — shipping costs are the owner's responsibility.
