Check In/Check Out for overnight guests

Check in is at 12 noon on the day your event begins.

Check out is at 3 PM on the day your event ends.

Check In/Check Out for daily rental guests

When filling out your contract you will be asked for the start and end times of your event.  Start time is when you will be allowed into the facility and end time is when you are expected to be out of the facility.  This includes set up and cleaning up.  Please plan accordingly as to how much time your group or event will need.  Additional hourly rates will apply if contracted for a half day and event runs longer.  

Deposit for reservation of overnight guests

Deposit of $250 will reserve your dates.  Balance is due in full 30 days prior to your stay.  If balance is not received, the reservations will be cancelled and the deposit forfeited.


Cancellation prior to 24 weeks - 100% refund.

Cancellation between 20 and 24 weeks - 80% refund.

Cancellation between 15 and 19 - 60% refund.

Cancellation between 10 and 14 weeks - 40% refund.

Cancellation between 7 and 9 week - 30% refund.

Cancellation within 6 weeks of scheduled rental will forfeit deposit.

Damage Deposit

Full Facility Rental:
We reserves the right to request a security deposit of $250. A $250 security deposit, in the form of a check or cash is required upon arrival.  The security deposit of the full $250 will be returned within 10 business days if there is no damage or missing items.

Daily Rental:
We reserves the right to request a security deposit of $100. A $100 security deposit, in the form of a check or cash is required upon arrival.  The security deposit of the full $100 will be returned within 10 business days if there is no damage or missing items.  


Please report any damage, broken items, or items in need of repair immediately during your stay.  Charges for damages and/or missing items following your stay will be at the discretion of Heartland Retreat & Rental Hall owners. 

General Policies

Smoking or use of any tobacco product is not allowed inside the property or in any entrances, exits, or other areas immediately adjacent to the property.  The use or possession of any illegal drugs or substances is strictly prohibited.  If there has been a determination that smoking has taken place inside the property, it will automatically constitute as damage to the property and your $250 security deposit will be forfeited or, if no security fee was required, you will be billed the amount of $250 which must be paid within 7 days of receipt.

While pets make great companions, it is our policy that no animals of any kind are allowed at Heartland Retreat & Rental Hall, with the exception of certified service animals.  Please leave your animals at home.


Please designate one individual from your group to be the liaison.  This person will be responsible for all communications and payments between your group and Heartland Retreat & Rental Hall.


Heartland Retreat & Rental Hall is not responsible for lost or stolen items.  Please check for all your belongings before you leave.  If it has been discovered that an item has been left behind, contact us immediately at 507-525-3210 so we can secure the item and return it back to you as soon as possible.  Shipping charges for items left behind will be the responsibility of the item’s owner.

Please respect our facility as you would your home, by leaving it clean and tidy upon your departure.  Please load and run the dishwasher and place used towels and linens by bedroom doors. If not left in a satisfactory state upon departure, it will automatically constitute as damage to the property and your security deposit will be forfeited, and/or you may be charged an additional cleaning fee at $25/hour with a $25 minimum.
